When you make a reservation or join our Rewards program, we collect the following information:

• Contact details: Full name, email address, and phone number.
• Driver's license: Photos of the front and back of your government-issued driver's license, along with your attestation that it is valid and you are legally eligible to drive.
• Insurance information: Your insurance provider, policy number, and expiry date, or an uploaded image of your insurance card.
• Payment details: Your rental balance is processed securely through Stripe. Card details are entered on Stripe's PCI-compliant checkout page and are never stored on Road Torch Car Rentals' servers. A security deposit of $100 per day (not to exceed $500 for the rental period) is collected separately in person at vehicle pickup.
• Emergency contacts: Names, relationships, and phone numbers you voluntarily provide.
• Booking details: Pickup and return dates, locations, and selected add-ons.
• Loyalty account: Your name, email, and password if you join Road Torch Rewards.

Your information is used solely for the following purposes:

• Processing and confirming your vehicle reservation.
• Verifying your identity, driver's license, and insurance coverage before pickup.
• Preventing fraud by submitting your information to a third-party verification platform prior to booking confirmation.
• Managing your rental agreement, extensions, and returns.
• Communicating with you about your booking, including out-of-state travel approvals.
• Administering the Road Torch Rewards loyalty program and referral discounts.

We take the security of your personal information seriously and employ the following safeguards:

• Secure storage: All data is stored on a secure, encrypted backend platform (Base44) with industry-standard access controls.
• Restricted employee access: Only authorized Road Torch employees can access booking and customer records through a password-protected operations portal. Employee logins are logged with timestamps and approximate location.
• Third-party verification: Before a booking is confirmed, your information is submitted to a third-party verification platform to detect fraudulent or fictitious details. Any fraudulent information results in cancellation of the booking.
• Minimal data sharing: Your information is shared only with parties necessary to fulfill your rental (e.g., insurance verification) and is never sold to third parties.
• Uploaded documents: Driver's license photos and insurance documents are stored securely and accessible only to authorized staff.

All Road Torch Car Rentals vehicles are equipped with GPS tracking and anti-theft devices to protect our company assets and ensure the safety of our fleet. By renting a vehicle, you acknowledge and consent to the use of these devices during your rental period.

What data is collected: Vehicle location, speed, and diagnostic information from the GPS and anti-theft systems.

How the data is used:

• Locating and recovering vehicles in the event of theft, unauthorized use, or breach of the Rental Agreement.
• Enforcing rental location and travel restrictions.
• Supporting roadside assistance and vehicle diagnostics.
• Resolving disputes related to vehicle use, mileage, or damage.

How the data is protected: GPS and anti-theft data is securely stored on our encrypted backend platform with restricted employee access. This data is not used to monitor your personal behavior and is retained only for as long as necessary for the purposes described above and in accordance with applicable law.

Road Torch Car Rentals uses Stripe, a PCI-compliant payment processor, to handle all online rental payments. When you confirm your reservation, you will be redirected to Stripe's secure checkout page to enter your payment information.

• Rental balance: Charged to your card at the time of booking confirmation via Stripe.
• Security deposit: A security deposit of $100 per day (not to exceed $500 for the rental period) is collected in person at vehicle pickup, separate from the online rental payment.
• Refunds: Approved refunds are processed back to your original payment method through Stripe. Refunds typically appear on your card statement within 5–10 business days, depending on your bank or card issuer.

Stripe handles your card data according to its own privacy and security standards. Road Torch Car Rentals does not store your full card number, expiration date, or security code.

We do not sell or rent your personal information. We may disclose your information only when:

• Required by law, court order, or law enforcement request.
• Necessary to complete a transaction or fulfill your rental agreement.
• Needed to protect the rights, property, or safety of Road Torch Car Rentals, our customers, or others.

We retain your personal information for as long as necessary to provide our rental services and to comply with legal, accounting, and reporting requirements. Booking records, driver's license images, and signed rental agreements may be retained for a period consistent with Texas record-keeping requirements and to support dispute resolution.

You have the right to:

• Request access to the personal information we hold about you.
• Request correction of inaccurate or incomplete information.
• Request deletion of your personal information, subject to legal retention obligations.
• Opt out of promotional communications at any time.
